For Workers & Mobile App Users

Employee Privacy Notice

Effective Date: 1 January 2025 • Last Updated: 30 October 2026

1. Why Are You Seeing This Notice?

Your employer uses Staff Mitr to record workplace attendance, manage shift schedules, and calculate monthly payroll. This notice explains in simple terms what information is collected, how your face biometrics are secured, and what rights you have under Indian privacy law.

2. What Information Is Collected?

Facial Biometrics

When your face is scanned, the system measures landmark points (like eye distance and nose position) and converts them into an encrypted mathematical code. We do not store live videos, and the code cannot be turned back into an image by hackers.

Location (GPS)

If you use mobile check-in, your phone's location is checked only at the exact moment you punch in or out to verify you are at your assigned workplace. Staff Mitr never tracks your location in the background when you are off duty.

Working Hours & Leaves

Exact times when you check in, take breaks, and check out, plus approved leaves and overtime hours, so you receive full and accurate credit for all work performed.

Salary & Bank Details

Your bank account number, IFSC code, and PF/ESIC numbers needed for direct salary transfers and statutory retirement and health insurance benefits.

3. Workers Aged 14 to 17 (Adolescent Compliance)

If you are between 14 and 17 years old, Indian law requires written permission from your parent or guardian and a doctor's Medical Fitness Certificate before you can start work. You will only be assigned safe, non-hazardous work and are prohibited from working night shifts or overtime. Children under 14 are strictly prohibited from working.

4. Who Can See Your Information?

Only authorized supervisors and HR managers at your company can view your attendance and salary records. You can check your own daily punches and download payslips in the mobile app. Staff Mitr never sells or shares your personal details or photos with outside advertisers, loan apps, or marketing companies.

5. Your Rights Under the DPDP Act

  • Right to View: You can view all your attendance punches, leave balances, and payslips in the app.
  • Right to Correction: If your mobile number, bank account, or name is misspelled, your employer's HR can update it for you.
  • Right to Privacy: Your face biometrics are deleted when your employment ends.
  • Questions or Complaints: You can talk to your company HR or email our Data Protection Officer at privacy@staffmitr.in.
